Community and Roundtable Recording Policy

1. Purpose and scope
This Policy applies to the Kajabi Community, Always-Open Community Feed, Age with Power Live Sisterhood Roundtables, Roundtable recordings and related posts, comments, messages, replies, images, video and other Member contributions.
It supplements and forms an integral part of the Women Love Pro-Age Terms and Conditions. Private One-on-One Coaching is outside the scope of this Policy and is governed by the Health and Coaching Disclaimer.
2. Private Community and confidentiality
The Community is intended to be accessible only to authorized Members and is not a public forum. Other authorized Members may nevertheless see the information and content shared within it, and no online group can guarantee absolute confidentiality.
Members must respect each other's privacy and must not copy, screenshot, record, quote, publish or disclose another Member's contribution outside the Community without that Member's prior express permission.
The Owner may take action against a violation but cannot guarantee that every Member will comply. Members should share only information they are comfortable making available to other authorized Members.
3. Member conduct
Members must interact respectfully. They must not submit content that:
- harasses, threatens, humiliates or intimidates another person;
- discriminates based on a protected characteristic;
- exploits or sexualizes minors;
- is unlawful, abusive, defamatory or intentionally misleading;
- infringes copyright, privacy, publicity or another third-party right;
- reveals another person's personal or health information without permission;
- impersonates another person or promotes dangerous conduct;
- contains spam, unauthorized advertising or commercial solicitation;
- attempts to scrape, harvest or collect Member information;
- distributes malware or malicious links; or
- violates the Terms, this Policy or applicable law.
The Community is educational and supportive. Health-related statements and Member experiences are subject to the Health and Coaching Disclaimer and must not be presented as professional diagnosis, prescription or treatment.
4. Member content
Members retain ownership of the original content they create. By submitting content to the Community, a Member grants the Owner a limited, non-exclusive, worldwide and royalty-free licence to host, store, reproduce, display, format and technically process that content only as reasonably necessary to operate the Community, make it visible to authorized Members, provide the Membership, moderate reports, maintain backups and comply with legal obligations.
This licence does not transfer ownership to the Owner and does not authorize unrelated public advertising or commercial use.
A Member may delete her own content where the platform provides that functionality or request removal by contacting the Owner. The licence ends when the content is deleted from the active Service, except for copies temporarily retained in backups or records that must be preserved to comply with law, resolve disputes, protect safety or enforce the Terms.
Each Member is responsible for her contributions and confirms that she has the necessary rights and permissions, does not violate another person's privacy or intellectual property, and does not submit confidential information belonging to someone else.
5. Moderation and reporting
The Owner may review, restrict, move or remove content that appears to violate the Terms, this Policy, applicable law or the safety and purpose of the Community. Moderation may take place after publication and does not imply that every contribution has been reviewed or approved.
Depending on the seriousness or frequency of a violation, the Owner may issue a warning, remove content, limit posting functionality, temporarily suspend access or terminate an account as permitted by the Terms. Enforcement decisions remain subject to applicable consumer law.
Suspected harassment, privacy violations, dangerous health claims, unauthorized recordings, intellectual-property violations or other inappropriate content should be reported to info@womenloveproage.com.
6. Roundtable recordings
Age with Power Live Sisterhood Roundtables are recorded so that authorized Members can access them on demand. A recording may capture a participant's display name, image, likeness, voice, spoken contribution, written chat contribution, reaction and information she voluntarily chooses to share.
Every scheduled Roundtable is intended to be recorded. A recording may occasionally be unavailable because of a technical failure, legal requirement, safety issue or another circumstance outside the Owner's reasonable control.
7. Notice and consent
Before participating in a live Roundtable for the first time, a Member must complete a separate electronic consent form covering the recurring Roundtable series described in this Policy. The consent covers the recording of the Member's participation, the private availability of the recording to authorized Members and the processing of health-related information that the Member voluntarily chooses to disclose.
The consent form is separate from acceptance of the Terms and from marketing consent. Its submission will record the Member, date, time and version of the consent text. A new consent will be requested if the purposes, intended audience or material recording practices change.
Each scheduled Roundtable will also include clear written notice that it will be recorded. The Owner will provide an oral reminder before recording begins and use the platform's visible recording indicator. Consent will not be inferred solely from silence, inactivity or a preselected checkbox.
8. Participation options
A Member who does not consent to appearing in a recording should not join the live Roundtable and may instead view the recording after it becomes available.
Where the platform permits attendance without identifiable participation, a Member may keep her camera and microphone disabled and refrain from submitting identifiable chat messages, reactions or other contributions. Because a display name or technical participation data may still appear, a Member who does not consent to any recording should use the replay rather than attend live.
Choosing not to appear in a Roundtable recording does not prevent the Member from using other Membership features.
9. Permitted use of recordings
After giving the required consent and participating in a Roundtable, a Member authorizes the Owner to record her contribution and make it available to authorized Members as part of the Roundtable archive.
The authorization is limited to producing the recording, performing necessary technical edits, removing interruptions or inappropriate material, creating captions where appropriate, storing the recording securely, streaming it to authorized Members and administering the Membership library.
An identifiable contribution will not be used in public advertising, social media, testimonials, promotional clips or unrelated commercial material without a separate express authorization.
The Owner may use a short, fully anonymized and muted demonstration clip to illustrate how a Roundtable is presented only if no participant, display name, chat contribution, voice, health information or other personal element is identifiable. Any identifiable promotional use requires a separate express authorization.
10. Member restrictions
Members may not independently record a live Roundtable or replay, take screenshots or photographs, create or save transcripts, use AI transcription or meeting-summary tools, invite recording bots, copy or extract audio or video, share account access, publish excerpts or redistribute a recording or Community contribution.
This restriction protects the privacy, personal information, intellectual property and trust of participants. A Member who becomes aware of an unauthorized recording or disclosure should notify the Owner promptly.
11. Health information in recordings
A Roundtable may include voluntary conversations about symptoms, pain, movement, nutrition, HRT, emotional wellbeing or other health-related experiences. Members are not required to disclose personal health information and should avoid sharing more than is reasonably necessary.
Acceptance of the Terms alone does not replace explicit consent required by applicable privacy law for recording and processing health information. Health-related information contained in a recording will not be used for targeted advertising, sold or disclosed publicly without an independent lawful basis and, where required, separate explicit consent.
Further information about processing is provided in the Privacy Policy.
12. Access, retention and privacy requests
Roundtable recordings are intended to be available only to Members with active access, the Owner and authorized personnel administering or moderating the Service, service providers needed to host or deliver the recording, and persons who must access it for legal, security or technical reasons.
Access normally ends when Membership access ends. References to recordings being “always available” mean available on demand to active Members while the recording remains part of the Membership library. They do not create lifetime access, permanent retention or access after cancellation.
The Owner may retain a recording while it remains useful and appropriate for the Membership, subject to the retention periods and legal bases described in the Privacy Policy.
A Member may contact the Owner to withdraw consent where processing is based on consent, request access to personal data contained in a recording, request removal or restriction of an identifiable contribution, or exercise another applicable privacy right. Withdrawal does not affect processing lawfully carried out before withdrawal.
13. Security and service providers
The Community and recordings may be hosted through Kajabi, video-conferencing services and other service providers. The Owner will use reasonable organizational and technical measures to restrict access, but no online system can be guaranteed completely secure.
Members are responsible for protecting their passwords and devices and should immediately report suspected unauthorized account access. The Privacy Policy describes applicable providers, international transfers, security measures and retention.
14. Mandatory rights and responsibility
Nothing in this Policy excludes privacy, consumer or other rights that cannot legally be waived. To the maximum extent permitted by law, the Owner is not responsible for an unauthorized disclosure caused solely by a Member's prohibited conduct, provided that the Owner has implemented reasonable safeguards and has not otherwise breached its legal obligations.
15. Acceptance
Members must accept this Policy before participating in the Community. Before participating in a live Roundtable for the first time, a Member must also submit the separate affirmative consent described in section 7. A Member who withdraws that consent must not participate live but may continue to use other Membership features, including available Roundtable replays.
16. Contact
Questions, reports and privacy-related requests concerning the Community or Roundtable recordings may be sent to info@womenloveproage.com.
